OFFICE OF THE SECRETARY FUNCTIONS INCLUDE:

  •    Serving as Vice-chair of the Executive Committee.

  •    Keeping minutes of the constituency and Executive committee.

  •    Keeping minutes of the Officer and Administrative Councils.

  •    Updating and signing employee service records.

  •    Compiling quarterly/annual statistical reports.

  •    Preparing denominational yearbook information.

  •    Preserving and safeguarding Conference vital records.

  •    Preparing, in consultation with fellow Officers committee agendas.

  •    Coordinating Executive Committee and staff retreats.

  •    Signing all necessary legal documents.

  •    Assisting in preparation of annual calendar.

  •    Oversee our Conference membership list.

ADDITIONAL COMMITTEES:

  •    Member of the Association Board.

  •    Member of the Board of Education.

  •    Member of the Constitution and By laws Committee.

OFFICE STAFF FUNCTIONS:

  •    Serve as In-house personnel Director.

  •    Coordinate professional growth for secretarial staff.

  •    Chair office personnel committee.

  •    Chair office social committees.

  •    Retiree recognition process.

  •    Maintain out of Conference travel records.

  •    Prepare and release all employees licenses and credentials.

FIELD FUNCTIONS

  •   Organizes new companies and churches.

  •    Presides at special events such as ground breaking, inaugurations and dedications of facilities.

  •    Training seminar for church clerks clerks.

  •    Takes speaking appointments.

  •    Introduces new pastors in churches and districts.

  •    Supplies speakers from office by request or between pastoral moves.

  •    Filling assignments given by Executive committee or the president.

  •    Coordinates ordination services.

  •    General Rapport and correspondence.

  •    Senior Theology interview.

FIELD STAFF

  •    Council Pastors on Church Manual items.

  •    Make available to all workers Handbook.

  •    Member and Recording secretary for Personnel committee.

  •    Process all Out of district/conference travel requests

  •    Process all Continuing education requests and records activities

  •    Release all Licenses and credentials

OFFICE SECRETARY

  Linda Barron is tracking the following tasks and will be glad to assist in any way she can.

  • Maintaining conference files.
  • Keeping track of church membership data.
  • Administering church clerk supplies.
  • Supplies church clerk forms and materials.
  • Assists in the training of church clerks.
  • Preparing Constituency Meeting information.
  • Processing continuing education requests.
  • Maintaining credential and license data.
  • Agenda preparation for committees.
  • Preparation of minutes for distribution to committees.
  • Prepares all quarterly reports for submission to the Union.
